Job Summary

The Human Resources/Payroll Specialist is responsible for assisting applicants with the application process as well as assisting hiring managers with the hiring process. Employee is also responsible for maintaining employee credentials. This position is the secondary contact for incoming faculty staff, students, and other customers.

Required Qualifications

High School diploma or equivalent

Two years clerical experience with a high degree of public contact

Knowledge of general office equipment to include copier, fax machine, and multi-line telephone

Computer literacy to include proficiency with Microsoft Office Suite

Excellent communication and interpersonal skills

Strong organizational skills


Preferred Qualifications

Some college course work

Previous Human Resources experience in a similar position

Extensive knowledge working with Microsoft Excel

Knowledge of HRIS software and imaging software, and Adobe Pro or other form making software

Essential Functions

Assist with general office duties including receptionist, telephone communications and public contact

Answer inquiries regarding hiring processes to include the status of vacant positions and the application process

Assist with part time employee paperwork and employee ID cards

Assist Payroll Manager with the calculation of part-time time sheets for payroll

Assist Director and HR Coordinator with all phases of hiring process

Assist Hiring managers with Job Announcement and hiring process

Post/Remove job announcements on the Midland College website with Texas workforce commission, newspapers, minority organizations, Higher Ed jobs, Community College Jobs, and other sources as need

Finalize each hiring process to include making sure all documentation required is cataloged within People Admin

Send email notifications to applicants regarding status of application

Process annual and pre-employment background checks and maintains background checks for volunteers, etc.

General secretarial duties such as filing, copying, running errands, typing, imaging and data entry, etc.

Maintain Authorized Driver List in Excel database

Process and send Texas New Hire Report to the Office of the Attorney General on a semi-monthly basis

Work with instructional areas to maintain and update credentials for faculty files for SACS

Ensures compliance with state for summer camps

Assists with volunteer evaluation process to include background checks and completion of volunteer agreement

Compile data for completion of quarterly veterans report

Assist with Kid’s College instructor and runner orientation

Extract data from HRIS Payroll/Benefits system to create ad-hoc reports

Assist Director with activities and correspondence as requested

Serve as backup to the Secretary to Director of HR/Payroll, the HR/Payroll Receptionist and Payroll Manager

Other duties as assigned

Physical Demands

Must be able to sit for long periods of time

Must be able to lift/move up to 25 pounds

Must be able to work extended hours during the beginning of the fiscal year

Use of manual dexterity

Repetitive use of a keyboard at a workstation

Must be able to run errands/deliver paperwork on Campus

Some travel for training may be required

Min Salary 2401.75 per month
